QC & Documentation

Our Services

QC & Documentation

Complete documentation. Full traceability. Every material we supply is backed by verified test certificates, inspection records, and compliance documentation compiled, reviewed, and delivered to project standards.

NASQS manages the quality documentation and compliance verification side of industrial procurement  ensuring that every material supplied is fully traceable, properly certified, and supported by a complete documentation package that meets project submission requirements.

In industrial projects, documentation is not paperwork  it is proof. Proof that the material is what it claims to be. Proof that it was tested to the required standards. Proof that it can be traced from heat number to final installation. Without this documentation, even the highest-quality material becomes a liability.

We handle the entire documentation lifecycle: from Material Test Certificate (MTC) verification at the manufacturer through to final documentation compilation and handover in the format your project requires  whether that is a Manufacturing Data Book (MDB), Material Receiving Inspection Report (MRIR), or project-specific documentation package.

Our QC & Documentation Scope

MTC Verification & Review

We review Material Test Certificates against purchase order requirements verifying chemical composition, mechanical properties, heat treatment records, and test results for compliance with specified standards.

Documentation Compilation

We compile complete documentation packages including MTCs, inspection reports, NDE records, dimensional reports, packing lists, and certificates organised in the format required by your project.

Traceability Management

We verify and maintain material traceability from heat/lot number through production, testing, inspection, and final delivery ensuring an unbroken chain of records.

ITP Review & Compliance Checking

We review Inspection and Test Plans to ensure all required documentation is identified, generated during production, and collected before release.

NCR Coordination & Follow-Up

When non-conformances are identified, we coordinate the NCR process documenting the issue, tracking corrective actions, and verifying closure before material release.

Final Documentation Handover

We prepare and submit final documentation packages Manufacturing Data Books (MDBs), MRIRs, or project-specific formats ready for client review and acceptance.

Documentation Types

We handle a comprehensive range of quality and project documentation:

Material Certificates

Material Test Certificates (MTCs / EN 10204 3.1, 3.2), Mill Certificates, Certificate of Conformance

Inspection Records

Visual inspection reports, dimensional inspection records, surface finish reports, PMI reports

NDE Records

Ultrasonic (UT), Radiographic (RT), Magnetic Particle (MT), Liquid Penetrant (PT) reports and film/digital records

Testing Records

Hydrostatic test certificates, pneumatic test records, hardness test reports, impact test results, bend test records

Welding Records

WPS/PQR, welder qualification records (WPQ), weld maps, weld log sheets

Traceability

Heat/lot traceability matrices, material marking records, colour coding records

Shipping & Packing

Packing lists, weight certificates, shipping marks, preservation records, container loading reports

Compliance

Certificates of Origin, fumigation certificates, calibration certificates, third-party release notes

Our Documentation Process

01

Requirement Identification

We review the purchase order, ITP, and project specifications to identify all documentation requirements types, formats, submission stages, and acceptance criteria.
02

Vendor Alignment

We communicate documentation requirements to the manufacturer at the order stage ensuring they understand what is needed, when, and in what format.
03

Progressive Collection

As production and inspection proceed, we collect documentation progressively, not waiting until the end when gaps are harder to fill.
04

Review & Verification

We review all documents for completeness, accuracy, and compliance cross-checking MTCs against specifications, verifying traceability, and flagging discrepancies.
05

Compilation & Handover

We compile the final documentation package in the required format, index it properly, and submit for client review and acceptance.

Standards We Work With

Our documentation management aligns with internationally recognised standards and certification requirements:

  • EN 10204: Types of inspection documents (3.1, 3.2 certificates)
  • ASME: Material and testing requirements per applicable sections
  • API: Product-specific documentation requirements
  • ISO 9001: Quality management system documentation principles
  • ASTM: Test methods and reporting requirements
  • Project-Specific: Client documentation procedures, submission formats, MDR/MRIR templates

Who Benefits from This Service

Why NASQS

Procurement-Integrated

Documentation management is built into our procurement process — not a separate activity managed after the fact. We collect progressively, not retrospectively.

Technical Review Capability

We don't just collect documents, we review them. MTCs are checked against specifications. Traceability is verified. Discrepancies are flagged before they become project issues.

Format Flexibility

We deliver documentation in the format your project requires whether that's a bound MDB, digital MDR, MRIR package, or client-specific template.

Gap Prevention

By identifying documentation requirements at order stage and collecting progressively, we prevent the common problem of discovering gaps after material has shipped.

Complete Traceability

Every document we compile maintains an unbroken traceability chain from heat number to final installation location supporting both compliance and future reference.
